How To - Enter Manual Invoices

Overview:
Manual invoices are typically used in two situations:

To enter outstanding invoices from your previous system when you first start using the software.
To record any invoices that were typed manually and not billed through the normal process.
Manual invoices do not have the detail of invoices processed through the system. They provide an accurate A/R balance and aging, and payments can be applied against them.


Steps:

  1. From the Tools Menu, select Setup,  History Invoices.  The History Information screen is displayed.
  2. In the Customer No. field, enter the customer number or press F2 to select the customer from a list, then press OK . The customer's name and the PRO Number field are displayed.
  3. In the PRO Number field, type the invoice number. The additional invoice fields are displayed.

Complete the following fields:
  1. In the Date of PRO field, enter the invoice date.
  2. In the Invoice Amt field, enter the current balance due.
  3. In the Revenue Code field, enter the revenue code.
  4. In the Tractor Number, enter a tractor number if needed for your record keeping. The system does not require you to enter a tractor number.
  5. Click OK to save the information or Cancel to re-enter the invoice. If you save, Invoice and customer balances are updated as the invoice is saved.
  6. You will be returned to the Enter Customer Number dialog to continue adding additional history invoices.
