How To - Release to GL

Overview:

If is linked to the SagePro general ledger, you can release data to the G/L as often as necessary.


Steps:


When you release data to the G/L, you add it to a holding file. All batches remain in the holding file until you update the G/L files from the SagePro software. See your General Ledger documentation for more information about updating information from linked programs.



  1. From the Billing Menu, select Release to GL.



  1. The Release Postings to General Ledger option grid is displayed. Today's date is the default cutoff date.


Do one of the following:



  1. If necessary, change the cutoff date and press .



  1. If you want to release all information through today, press OK to accept the default date.



  1. If you have items dated across more than one period, you may receive a  yellow box message like this:

    “This release spans multiple periods/months.  The following is a summary of the

    periods/months found before the cut-off date.”


    December 2012 (2)

January 2013 (2)

**** All transactions will be posted to December 2012 if released as such ****


When you close that box, you will have several choices.

Change Cut-off Date - you will have an opportunity to enter a cut off date different from the one that you entered originally


Move Earlier Transactions and Release - Use this option if you really want to release all of this information into the same period; and then you will be able to enter the date that you want to use to release it all.  


    Release as is - if you select this option all the information in the release will post to the    

    GL in the oldest period listed in the yellow box message.



  1. The “Do you want to print a Posting Register?” message is displayed. If there is no information in the selected date range, the message ``No Postings to release in the requested date range'' is displayed.  Always print a posting register as you will NOT be able to go back and print this exact information later.  The posting register provides a record of all data sent to the G/L holding file.



  1. You will have one final prompt “Release Information to the GL?”  Answer Yes to do so.  Answer No to not release.  If you answer No, you will be able to come back to it later and release it.
