How To - Create Mailing Labels in Word '03



Objective: Create a mailing label using MS Word 2003

Prerequisites:
If trying to use a certain type of Avery label form, it's recommended you try using Word, or another word processor. Make a copy of the master file to another directory (on your local C drive would be good) and then you can print labels using Microsoft Word's Mail Merge feature which supports DBF files.

The files are:
customer MFCUST
driver MFDRIV

Steps:

In Microsoft Word:
1. Select Tools, Letters & Mailings, Mail Merge

2. Select Labels for the document type. Click Next.

3. Select Change Document Layout if this is the 1st time to set this up. Click Label Options to select the type/size. Click Next.

4. Click the Browse button and browse to the location of the Horizon file that you copied and select it. It may take a few minutes, but it should pull in the data from the file. Click OK. Click Next.

5. Under Arrange your labels, click More Items. You will see a list of fields from the database that you can select for your label. Typically you want the name, address, city, state, zip. Click on a field, then the Insert button. Press enter when you want things on a new line - this is the format your labels will print out. Click Next.

6. Click Update all labels button. Click Next.

7. Click Edit Recipient list if you want to select or deselect certain records. Click Next and Print.
